(3) Decisions
Main contact:
Michael will be the main contact for the event. He will check RSVPs coming into the Yahoo email box (richmondcivicnet@yahoo.ca).
Planning Committee:
To better monitor the progress of our planning tasks, a planning committee was created, including Michael, Jessica, Patricia, Gerardo, and Jack. Michael will be the key coordinator.
Venue:
Two venue options were suggested - Richmond Cultural Centre (first choice) and Richmond Seniors' Centre. Alan will contact the Richmond Cultural Centre to find out about availability, audio-visual equipment, and rental cost (if any).
Date:
October 4, 2007 is the date of the event. Michael will contact the Iman School teachers to find out whether we can accommodate their needs during the month of Ramadan.
RSVP deadline is set for September 26, 2007.
Promotional flyer:
A draft of the promotional flyer was reviewed. It was suggested that a three-folding flyer be made for easier distribution to libraries, community centres, etc. Michael will design a draft for further review. Alan will help with the printing of coloured flyers and distribution to community centres, libraries, community organizations, etc.
Media contacts:
Michael will contact the Richmond community newspapers - Richmond News and Richmond Review. Meena and Patricia will contact the Chinese media.
Other contacts and promotional channels:
All members will use our personal networks to spread the word. Alan will try to arrange for Michael to present about the Network and the event at the next RIAC meeting.
Sylvia and Dale will contact the RCMP to explore their interest in participating at and supporting the event. Michael mentioned that an RCMP officer from Richmond did attend the first 2 RCEN meetings.
Alan will approach his First Nations contact in Richmond (Musqueam Nation) to invite their participation, especially in hosting a traditional welcoming ceremony.
Michael will contact Francis Li of SUCCESS (Richmond Office) to get his office's involvement in the event.
Food/refreshment:
Alan spoke to Daisy Quon (Coast Capital) who indicated the possibility for CC to sponsor such an event. Alan and Michael will liaise with Daisy to explore this further. Sylvia also indicated that her organization could likely sponsor the food and refreshment too.
Ice Breaker:
Meena will be responsible for ice breaking.
Resource persons:
Sylvia, Michelle, Arthur and Alan will be the "resource persons" and help with the facilitation of group discussions.
Historian:
Michelle will work on finding a historian.
Reception:
Jessica will look after reception at the event. She will design a Registration Form for our review.
Stationery:
Sylvia will provide stationery, such as Hello labels, markers, flip charts, etc.
Laptop/LCD projector:
If the venue cannot provide the equipment, Alan can book the items from the City Hall. Jack can also provide the equipment (as backup).
